Privacy Notice
This notice explains how NYBRHD LTD, trading as Naybourhood, handles personal data when you visit our website, create an account or use the Naybourhood buyer-intelligence platform.
1. Who we are
Naybourhood is a trading name of NYBRHD LTD, a company registered in England and Wales (company number 15818462). Naybourhood is a UK-based business-to-business platform that helps property companies understand, enrich and prioritise buyer enquiries. References to "we", "us" and "our" mean NYBRHD LTD.
2. Our two roles
Controller. We are the controller for personal data about our customers' users, website visitors and business contacts — for example account, billing, support, usage and website data.
Processor. When customers upload or connect buyer or lead data, the customer generally decides why and how that data is used and is the controller. We generally process that data on the customer's behalf as a processor or service provider, under our Terms and Data Processing Agreement. If you are a buyer or lead whose details were provided to us by a property company, please contact that company first about your data; we will assist them as needed.
Customers are responsible for ensuring they have a lawful basis to upload and process buyer and lead data, and for giving those individuals appropriate privacy information.
3. Data we handle
- Account and contact data — name, work email, company, role, login and workspace details.
- Uploaded buyer and lead data — information customers provide, such as names, contact details, enquiry details, budgets, locations and CRM status.
- Enrichment and profile data — professional, business and publicly available information obtained from data providers and public sources to help assess identity, profile and purchase intent.
- Usage and log data — actions in the platform, device and browser information, IP address, timestamps and error logs.
- Billing data — plan, subscription status, invoices and payment references. Card details are handled by our payment provider; we do not store full card numbers.
4. Why we use it
- Providing buyer intelligence, scoring and reporting.
- Identity matching and data enrichment.
- Keeping the platform secure and preventing fraud or abuse.
- Customer support and service communications.
- Billing, subscriptions and credit management.
- Improving and developing the product.
- Complying with legal, tax and regulatory obligations.
5. Lawful bases (where we are controller)
- Contract — to provide the service and manage accounts and billing.
- Legitimate interests — to run, secure, support and improve a B2B service and communicate with business contacts, balanced against individuals' rights.
- Legal obligation — for accounting, tax and regulatory requirements.
- Consent — only where specifically required, for example certain marketing. You can withdraw consent at any time.
6. Service providers
We use carefully selected third parties to deliver the service, in categories including: hosting and database infrastructure; data enrichment and information providers; AI and analysis services; payment processing; email and communications; and monitoring and error logging. They may only use personal data to provide services to us and are bound by appropriate contractual terms. Customers can request a current list of sub-processors.
7. International transfers
Some providers may process data outside the UK. Where this happens, we rely on recognised safeguards such as UK adequacy regulations, the UK International Data Transfer Agreement or the UK Addendum to the EU Standard Contractual Clauses, together with supplementary measures where appropriate.
8. Retention
We keep personal data only as long as needed for the purposes above. Account data is kept while the account is active and for a reasonable period afterwards. Customer-uploaded data is kept in line with the customer's instructions and deleted or returned at the end of the service as described in the DPA. Billing records are kept as long as the law requires (typically six years in the UK).
9. Security
We use technical and organisational measures appropriate to the risk, including encryption in transit, access controls, workspace data separation and logging. No system is completely secure, but we work to protect data and to respond promptly to incidents.
10. Your rights
Under UK data protection law you may have rights to access, correct, erase, restrict or object to processing of your personal data, to data portability, and to withdraw consent. Where we act as processor, we will pass your request to the relevant customer and help them respond. Rights are subject to conditions and exemptions.
11. Complaints
Please contact us first so we can try to help. You also have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk.
12. Cookies
We use only cookies and browser storage that are strictly necessary to sign you in, keep your session secure and remember display preferences such as theme. We do not currently use advertising or analytics cookies. If that changes, we will update this notice and ask for consent where required.
